Omega Veterinary Group is looking for an outstanding practice manager to join a brand-new hospital focused on critical care. This criticalist owned specialty hospital is the first hospital of its kind in the Bay Area. The revolutionary concept is led by a team of three boarded criticalists and is supported by other specialties such as surgery, internal medicine, radiology and future oncology. Located in beautiful San Mateo, California just outside of San Francisco, our hospital’s vision is to build a team of 6 criticalists to help us establish our specialty hospital as the only hospital primarily focused on the most critically ill patients or those needing advanced care. We will provide unparalleled critical care medicine featuring the most up to date ICU in the region. Position Overview

We are looking for a someone who can supervise and oversee the business activities of the hospital all while making sure the culture of the hospital is never compromised. These duties include hiring and training hospital staff; monitoring key performance indicators, managing the hospital software and implementing safety and security procedures.

The Practice Manager must create and maintain a positive culture and work environment. The Practice Manager exercises sound judgment and the willingness and capability to make decisions.

The Practice Manager is responsible for all accounting and financial control functions, including financial planning, budgeting, control and reporting systems as well as financial analyses. The Practice Manager ensures the hospital’s management team has adequate visibility into operations so that the team members know how the hospital is performing, and how they contribute to achieving the goals.

Reporting Structure

Directly reports to the Hospital Director.

Primary Responsibilities

1. Hospital Facility

  • Develops a schedule for the hospital maintenance.
  • Contracts for and supervises all maintenance activities to ensure that practice medical standards are met.
  • Maintains a facility visually appealing to clients and staff.
  • Designs and administers safety and security regulations and training.

2. Equipment and Facility Maintenance

  • Oversees the schedule for hospital maintenance.
  • Contracts for and supervises all maintenance activities to ensure that hospital medical standards are met.
  • Orders and supervises storage of non-medical supplies.
  • Maintains a facility that is visually appealing to clients and staff.

3. Staff Support

  • Communicates objectives, motivates staff, builds and maintains morale.
  • Promotes a cooperative work environment among staff members; understands the value of teamwork; shows enthusiasm and willingness to perform as necessary to help the practice as a functional unit
  • Helps mediate conflicts between staff members; resolves staff issues.
  • Takes corrective action when issues are brought to attention.
  • Reviews employees in a timely manner.

4. Responding to client concerns

  • Promotes a client-centered environment and facilitates programs and processes that meet client needs.
  • Facilitates the resolution of client problems that doctors or other staff members cannot finalize.
  • Resolves financial problems with clients, collecting delinquent accounts.
  • Primary contact for client complaints.

5. Human Resources

  • Plans and organizes personnel activities
  • Schedules and coordinates regular performance reviews.
  • Hires and manages support staff and/or staff supervisors; schedules staff and doctors.
  • Is accessible by staff while maintaining a professional relationship with them.

6. Personal Conduct

  • Adheres to all hospital policies, standards, and procedures, including but not limited to uniforms, grooming, smoking, and personal calls, as stated in the hospital procedures manual.
  • Serves as a representative of the hospital, displaying courtesy, tact, consideration, and a positive attitude in all interactions with clients, patients, and other staff members.
  • Demonstrates initiative in everyday duties by seeking other work during down times, assisting other employees, and filling in for other employees as needed.
  • Adheres to the posted work schedule. Arrives for work promptly and begins work at the start time. Follows hospital policies for reporting lateness or absences.
  • Organizes work areas and exercises time-management skills to maximize personal efficiency.
  • Prioritizes tasks and handles multiple tasks in a calm, organized manner.

7. Requirements

  • Ability to complete assigned tasks in the time allotted without direct supervision.
  • Demonstrated ability to show empathy toward clients and treat animals with respect and compassion.
  • Competence in problem-solving and conflict resolution.
  • Sound judgment in decision-making, selecting methods to complete tasks, establishing priorities, and drawing conclusions.
  • Ability to adapt to and operate effectively in different roles with a variety of people, inside and outside the hospital.
  • Excellent interpersonal communication skills.
  • A commitment to outstanding client service.
  • Ability to lift objects weighing 40 pounds without assistance and objects weighing more than 40 pounds with assistance.

  • Availability to occasionally work uncommon hours and overtime, and to be subject to recall for business emergencies.
  • Demonstrated competence in budgeting and financial reporting.
  • Demonstrated competence in all aspects of staff management.
